Define the delivery before translating

A request for Spanish subtitles still leaves decisions: audience region, preferred terminology, speaker labels and who can approve the translation. Record those choices with the exact video filename and version. Ask whether the destination needs selectable captions, text burned into the image, or both; these are different deliverables.

This research guide uses YouTube's official instructions reviewed September 14, 2026. The workflow and worksheet are editorial planning aids, not a multilingual export test or proof that a particular translation is accurate.

Build a language handoff

Keep the source-language transcript as the reference. Correct names, numbers and terminology against the recording before translating it. Create a short glossary containing product names that should stay unchanged, terms that need explanation, and the intended translation for repeated phrases.

Assign each target language an owner and a reviewer able to judge meaning in context. A machine-produced draft can be an input, but a file existing on disk does not establish language quality. If no qualified review is available, label that language unreviewed and keep it out of the approved delivery.

Translate meaning, then review the timing

Work through one short passage first. Read the translation while watching the actual video, and check whether viewers have time to read it. A translation can be longer than the source even when it preserves meaning. Split or retime cues where needed while keeping them aligned with the speaker.

For an invented practice case, an English cue says 'The review is on 4 May.' A translated cue must preserve that date, not silently change it to April 5. Review names, dates, decimal separators and units explicitly. This is a suggested review exercise, not a measured accuracy result.

  • Check the beginning, a middle passage, the ending and every edited transition.
  • Inspect line breaks and whether text covers important visual content.
  • Include meaningful non-speech sound descriptions where needed for the agreed caption deliverable.

Upload the translated track using the right path

YouTube documents adding a language in Studio's Subtitles area, then adding subtitles and uploading a supported file with or without timing. Its auto-sync transcript path requires the same language as the video's speech. Do not assume a translated transcript will align through that source-language path.

For a translated delivery, prepare and review the timed track before using the appropriate file upload option. Confirm the destination's supported format from its own documentation; do not assume every player accepts the same file or styling.

Check the destination and retain the handoff

In the destination player, select each language yourself and watch the agreed review passages on desktop and a small screen. Confirm the language label, characters, timing and text placement. A successful upload is only one check.

Record reviewer, version, review date and remaining issues in the worksheet. Keep language tracks and their source reference together. When the video changes, mark affected tracks for review so a previously approved translation is not paired with the wrong cut.
